How the Corporate Gift RFQ Process Works: A Step-by-Step Guide

For procurement teams new to corporate gifting, the RFQ (request for quotation) process is simpler than it looks, but having the right information ready upfront significantly speeds up getting an accurate quote back.

A useful RFQ includes: approximate headcount or unit quantity, target budget per recipient, preferred product category or categories, whether branding is required, and your target delivery date. Vendors can quote faster and more accurately with all five of these upfront than with a vague 'send me your catalog' request.

Expect a reputable vendor to respond with tiered pricing (cost per unit changes meaningfully at different quantity breakpoints), a confirmed delivery timeline, and clarity on GST invoicing — if any of these three are missing from a quote, it's worth asking before proceeding.

Once a quote is accepted, confirm the order in writing with exact quantities, product specifications, and delivery address details — ambiguity at this stage is the single most common cause of fulfilment errors on large bulk orders.
